AI Assistant
An AI assistant is software that understands requests in plain language and then acts on them: it answers questions, but it also drafts and sends email, schedules meetings, tracks tasks and runs multi-step workflows inside the apps you already use. Siri, Alexa, Google Assistant, ChatGPT and GAIA are all AI assistants; what separates them is how much real work each one can do on your behalf.
Understanding AI Assistant
What an AI assistant can do comes down to five capabilities. It understands natural language, typed or spoken. It finds information, from the web or from your own email, files and calendar. It takes actions through integrations, such as replying to a thread or moving a meeting. It remembers context, like who your manager is or how you like replies worded. And the most capable ones act on their own: they run on a schedule or react to a new email instead of waiting for a prompt.
AI assistants fall into three broad groups. Voice assistants such as Siri, Alexa and Google Assistant are built for quick spoken commands: timers, smart-home control, a weather check. Chat assistants such as ChatGPT, Claude and Gemini are built for thinking work: writing, summarizing, explaining, coding. Productivity assistants such as GAIA are built for follow-through: they connect to your accounts and keep working on your inbox, calendar and to-do list between conversations.
Compared with ChatGPT, a connected assistant's advantage is not a smarter model, it is access and initiative. ChatGPT is built around a conversation you start, which makes it the better tool for a one-off question or a draft you will paste somewhere yourself. An assistant wired into Gmail, Google Calendar and your task manager can take on the recurring work instead: triage the overnight email, prepare a brief before each meeting, and turn a promise made in a thread into a tracked task.
A chatbot is the narrower idea: software that holds a conversation and replies, usually without acting in your tools. Most AI assistants use a chat window as their interface, which is why the two terms get mixed up. For a side-by-side breakdown, see Chatbot vs AI Assistant.
Before you give an assistant access to your accounts, check four things: which apps it connects to, whether it asks before sending or deleting anything, what it remembers and whether you can review that memory, and whether it keeps working when you are not chatting with it (on a schedule or when new email arrives). Assistants still misread intent at times, so keep a review step on anything that goes out under your name.
How GAIA Uses AI Assistant
GAIA is a personal AI assistant that redefines the category. Unlike conversational assistants that respond to prompts, GAIA proactively manages your email, calendar, tasks, and workflows across your integrated tools.

Chatbot vs AI Assistant
A chatbot is software that talks with you: it answers questions in a chat window using scripted rules or a language model. The difference between a chatbot and an AI assistant is action. A chatbot replies; an AI assistant (often called a virtual or digital assistant) also does the work, such as sending the email, booking the meeting or creating the task, in the tools you already use.
AI Assistant vs AI Agent
An AI assistant is AI that helps a person on request: you ask, it answers or carries out the task, and you stay in the loop. An AI agent is AI that is given a goal and works toward it by itself, deciding which steps to take and which tools to use along the way. Most capable AI assistants today are built on agents underneath.
Digital Assistant
A digital assistant is a software-based agent that helps users perform tasks, access information, and manage their digital life through natural language interaction and increasingly autonomous action.
AI Agent
An AI agent is an autonomous software system that perceives its environment, reasons about what to do, and takes actions to achieve specific goals without continuous human direction.
Proactive AI
Proactive AI is AI that acts before you ask: it watches for events (a new email, an upcoming meeting, a deadline), decides when something needs attention, and starts the work or alerts you on its own. Reactive AI is the opposite: it does nothing until you send a prompt or a command, and then it responds.
Cognitive Load
Cognitive load refers to the total amount of mental effort required to process information, make decisions, and manage tasks at any given time.
AI Copilot
An AI copilot is an artificial intelligence system that works alongside a human user, providing suggestions, drafting content, surfacing relevant information, and automating subtasks while the human retains control over final decisions.
Siri
Siri is the voice assistant built into every iPhone, iPad, and Mac. It handles quick commands like timers, calls, and simple questions.
Gemini Assistant
Gemini Assistant is the built-in AI on Android phones. It answers questions, sets timers, and controls your device by voice.
Digital Executive Assistant
A digital executive assistant is an AI-powered system that performs the functions of a human executive assistant: managing your inbox, scheduling meetings, preparing briefings, coordinating follow-ups, and handling administrative work.
