Automate Notion + Trello with GAIA

Connect Trello to Notion: turn new Notion tasks into cards and roll board status back into Notion on a schedule

A Trello Notion integration links your Trello boards to your Notion workspace so cards and project pages stop drifting apart. Notion and Trello have no built-in two-way sync, and pasting a Trello link into Notion only gives you a link or embed block, not rows you can filter, sort, or relate. GAIA connects to both apps: when a page is added to a Notion database it can create the matching Trello card, and on a schedule you set it reads your boards and updates the Notion entries to match.

The two directions work differently. Notion tells GAIA when a page is created or its properties change, so Notion to Trello runs when that event arrives. Trello has no event trigger in GAIA, so Trello to Notion runs on a schedule: hourly, every weekday morning, or whatever interval you choose. Between runs, Notion can lag behind the board.

If you need a field-by-field mirror of every card that refreshes within minutes, a dedicated automation tool such as Zapier or Make is the better fit. GAIA suits teams that want the sync plus judgment: deciding which Notion items deserve a card, summarizing a board into a status page, or archiving a finished sprint as a readable record.

5 things you can automate

Everything GAIA can do when Notion and Trello are connected.

1

Create Trello cards from new Notion tasks

Point a workflow at a Notion database. When a new page lands there, GAIA creates a card on the board and list you named, with the title, description, and due date from the page, and adds the Notion link so nobody has to search for the spec.

2

Update Notion status from Trello lists on a schedule

On the schedule you set, GAIA reads the cards on a board and updates the status property of the matching Notion entries, using the list-to-status pairs you described (for example Doing to In progress, Done to Complete).

3

Link Trello cards to Notion pages for full context

GAIA adds the relevant Notion page link to the card, so people working from the board can open the spec, design notes, or meeting notes in one click.

4

Write a Notion status page from the board

GAIA reads a Trello board and writes a Notion page with cards grouped by list, overdue cards, recent completions, and upcoming due dates, as a weekly digest or whenever you ask.

5

Archive a finished board or sprint to Notion

When you tell GAIA a sprint is done, it copies the board's cards into a Notion database, so completed work stays searchable after the board is closed.

How to set it up

Connect Notion and Trello to GAIA in three steps.

  1. 1

Connect Notion and Trello to GAIA

Add both from GAIA's integrations page. Notion asks which pages and databases GAIA may access, so share the database you want to sync. Trello connects through its own authorization screen.

  2. 2

Describe the sync in plain English

Create a workflow and say what should happen, for example: "When a page is added to the Product Tasks database, create a card in the Backlog list of the Roadmap board" or "Every weekday at 9am, set each Notion task's Status from the list its Trello card is in." Name the list-to-status pairs once in the description.

  3. 3

GAIA runs it in the background

Notion-triggered workflows run when the Notion event arrives. Trello-to-Notion updates run on your schedule. GAIA can notify you after each run with what it changed, and you can ask it to run the sync on demand at any time.

Frequently Asked Questions

Yes. A scheduled workflow can read several boards and write them into one Notion database, with a Board or Project property recording where each card came from. This suits teams that run one board per client or project but want one report in Notion.

GAIA writes the common Notion property types: title, text, select, multi-select, date, checkbox, URL, and number. Those cover a card's name, description, list, labels, due date, completion, and link.

GAIA sets no card limit. Large boards take longer per run because GAIA reads them through the Trello and Notion APIs, which have rate limits. For boards with hundreds of cards, sync only the open lists or the cards still in progress.

You can paste a Trello board or card URL into a Notion page and choose the embed or link option. That gives you a window onto the board, but the cards are not Notion data, so Notion cannot filter, sort, or relate them. To get cards as database rows, sync them with a workflow like the ones on this page.

Half of it is. Notion to Trello runs when Notion reports a new or changed page. Trello to Notion runs on the schedule you set, because GAIA has no Trello event trigger. If the board changes at 9:05 and the sync runs hourly, Notion catches up at the next run.

Connect Notion and the task app to GAIA, then describe the sync as a workflow. For Trello, use a Notion trigger for new tasks and a schedule for status coming back. Asana does have event triggers in GAIA, so Asana to Notion updates can run when a task changes instead of on a timer.
