Automate HubSpot + Notion with GAIA

Sync HubSpot CRM data to Notion docs and document deals and customer research

A HubSpot Notion integration copies CRM records into Notion so deal notes, account research, and pipeline reports sit next to the rest of your team's docs. With GAIA connected to both apps, you describe the rule once: add new HubSpot contacts to a Notion database, create a Notion page for each new deal, or log deal stage changes in Notion. GAIA checks HubSpot on the schedule you set (hourly, every morning, weekly) and writes the new or changed records into Notion.

The direction matters. GAIA has no HubSpot event trigger, so HubSpot to Notion runs on a schedule rather than the moment a deal is created, and between runs Notion can be one interval behind. Notion to HubSpot can be event-driven: when a page is added to a Notion database, such as your meeting notes, GAIA can log it as a note on the matching HubSpot contact or deal.

If you need every HubSpot property mirrored into Notion within minutes, a dedicated automation tool such as Zapier or Make is the better fit. GAIA suits teams that want judgment in the loop: a research page that includes the contact's recent emails, a weekly pipeline summary written as prose, or skipping test and duplicate deals instead of copying everything.

5 things you can automate

Everything GAIA can do when HubSpot and Notion are connected.

1

Create a Notion page for each new HubSpot deal

On each scheduled run, GAIA lists the deals created since the last run and creates a page in your Notion deals database with the deal name, amount, stage, close date, and associated contacts, plus the research template you described.

2

Add new HubSpot contacts to a Notion database

GAIA copies new contacts into a Notion database with name, email, company, job title, and lifecycle stage, so the team can look up accounts in Notion without opening HubSpot.

3

Log HubSpot deal stage changes in Notion

On each run, GAIA compares every open deal's stage with its Notion entry. When the stage moved, GAIA updates the Stage property and appends a dated line to the deal page, building a stage history in Notion.

4

Write a weekly pipeline summary in Notion

On a weekly schedule, GAIA reads your open deals and writes a Notion page with deals by stage, total value, deals closing this month, and deals whose close date has already passed.

5

Log Notion meeting notes to HubSpot

When a page is added to your Notion meeting notes database, GAIA finds the matching contact or deal in HubSpot and logs the notes there, so the CRM timeline stays complete.

How to set it up

Connect HubSpot and Notion to GAIA in three steps.

  1. 1

Connect HubSpot and Notion to GAIA

Add both from GAIA's integrations page. In Notion, share the databases GAIA should write to, such as Deals, Contacts, or Accounts.

  2. 2

Describe the sync in plain English

Create a workflow and say what should happen, for example: "Every hour, create a page in the Deals database for each new HubSpot deal, with amount, stage, close date, and primary contact" or "Every morning, update the Stage property of each Notion deal page from HubSpot." Say which HubSpot property fills which Notion property.

  3. 3

GAIA runs it in the background

HubSpot-to-Notion workflows run on your schedule. Notion-to-HubSpot workflows run when the Notion page is created. GAIA can send you a short report after each run, and you can ask for a run on demand.

Frequently Asked Questions

Yes. When a page is added to a Notion meeting notes database, GAIA can log it as a note on the matching HubSpot deal or contact, keeping the CRM timeline complete.

Either. Describe the structure you want: one page per deal for detailed opportunity tracking, or one page per company that collects all of its deals and contacts.

Yes. GAIA reads and writes HubSpot custom properties. Name the HubSpot property and the Notion property it should fill in your workflow description, and changed values are written on the next scheduled run.

No. GAIA has no HubSpot event trigger, so it checks HubSpot on the schedule you set. With an hourly workflow, a deal created at 10:10 shows up in Notion by the 11:00 run. You can also ask GAIA to run the sync right away.

Yes. A Notion trigger can start the workflow when a page is created or its properties change. GAIA can then create or update a HubSpot contact, company, or deal from the page, or log the page as a note on an existing record.

A Zapier or Make automation copies fixed fields from one trigger, and for a pure field copy it is the simpler choice. GAIA works from a plain-English description, so it can also handle the parts that need reading: adding a summary of a contact's recent emails to the deal page, skipping test deals, or writing a weekly pipeline narrative.
