Automate Gmail + Discord with GAIA
Get important Gmail emails summarized in Discord, and ask GAIA about your inbox from any server or DM
To connect Discord to Gmail you need something in between, because neither app forwards to the other on its own. There are two common setups. If you want matching emails posted as-is into a server channel, create a webhook in that channel (Server Settings > Integrations > Webhooks) and point an email automation tool such as Zapier or Make at it, using Gmail filters or labels to choose which emails go through. If you want an assistant that reads your inbox, decides what matters and tells you in Discord, connect Gmail to GAIA and add the GAIA bot to Discord.
Here is how the GAIA side works. A workflow with the Gmail new-email trigger starts shortly after each email arrives. GAIA reads it, applies your instructions ("only failed payments, client replies and anything from my bank") and sends a short summary to your Discord DMs through the GAIA bot. You can also @mention GAIA in a server channel or DM it and ask "anything urgent in my inbox since lunch?", and it answers right there and can draft or send the reply from Gmail. GAIA does not post into arbitrary server channels through Discord webhooks, so for a shared #alerts feed that the whole server reads, the webhook route is the right tool.
Sale alerts are the most common request. Most stores and payment providers (Shopify, Stripe, Gumroad, PayPal) email a receipt for every order, so the email is your signal. With GAIA: "When an email from Stripe arrives with 'Payment received' in the subject, DM me the amount, product and customer country." For a #sales channel the whole team watches, feed a Discord channel webhook from Zapier or Make instead.
If you were looking for an email parser: parsers such as Mailparser pull fixed fields (order number, amount, tracking code) out of emails that always share one layout, using templates. GAIA extracts the same fields from plain instructions, which copes better when the layout changes. For thousands of identical emails a day, a template parser is more predictable.
5 things you can automate
Everything GAIA can do when Gmail and Discord are connected.
System alert emails to your Discord DMs
Monitoring tools send alert emails when a service goes down. A Gmail-triggered GAIA workflow reads each one shortly after it arrives and DMs you a one-line summary in Discord (service, error, time), so you see it on your phone without opening email.
Client email summaries in Discord
When an email from a client arrives, GAIA DMs you who wrote, what they need and whether it needs a reply today. Ask GAIA in the same chat to draft the answer and it saves a Gmail draft for you to check.
Payment and billing notifications
Payment confirmations, failed charges and renewals from Stripe or PayPal arrive by email. GAIA filters them and sends you a short Discord message with the amount and anything that needs action, skipping routine receipts if you ask it to.
Email highlights posted in a server channel
@mention GAIA in a channel and ask "post the key points of today's newsletter email here". GAIA reads the email in Gmail and replies in that channel. To post every newsletter automatically, use a Discord channel webhook.
New lead or inquiry alerts
When a contact-form submission or sales inquiry arrives in Gmail, GAIA DMs you the name, company and request, and can add a follow-up task to your todo list so the lead does not go cold.
How to set it up
Connect Gmail and Discord to GAIA in three steps.
- 1
Connect Gmail and add GAIA to Discord
Connect your Gmail account in GAIA, then add the GAIA bot to Discord and link it to your GAIA account with /auth. The bot can then DM you and answer when you @mention it in a server.
- 2
Describe which emails matter
Create a workflow with the Gmail new-email trigger and write the rule in plain language: senders, subject words, labels, or a description like "anything a client is waiting on". Say what the Discord message should contain.
- 3
GAIA reads new email and messages you
Each matching email becomes a Discord DM shortly after it arrives, and emails that do not match are left alone. List and run your workflows from Discord with /workflow.
